Falling behind on bookkeeping is common, especially in a busy year. The good news is that catching up is a defined project, not a crisis. Done in the right order, months of backlog can usually be brought current in a few weeks.
1. Gather everything first
Before categorizing a single transaction, collect the raw material: bank and credit card statements for every account, loan statements, payroll reports, and access to your accounting software and payment platforms. Missing statements are the most common cause of delay, so request them up front.
2. Reconcile account by account
Work one account at a time, one month at a time, starting from the last month that was correctly reconciled. Match every transaction in your books to the statement. Reconciliations are what turn a pile of transactions into numbers you can trust.
3. Categorize consistently
- Use a clean, simple chart of accounts, and fix it before you start rather than halfway through.
- Set up bank rules for recurring transactions to save time and keep categories consistent.
- Keep a single list of questions for the owner, instead of interrupting them for each unclear transaction.
4. Clean up the balance sheet
Old uncleared checks, duplicate entries, owner transactions mixed with business ones and loans recorded as income all distort your numbers. A balance sheet review at the end of the catch-up is what makes the books tax-ready rather than just current.
5. Put a monthly rhythm in place
Catching up only helps if you stay caught up. A monthly close, with reconciliations and a short P&L, balance sheet and cash summary by a fixed date, prevents the backlog from building again.
